Office policies stated in the company handbook

The below mentions some general office policies which we staff should follow. They can also be found in our company handbook.


Tidy Desk Policy 🖥️

At the end of a working day in the office, people should tidy their desks and:
• File/shred any important/confidential documents. Any such documents should not be left on desks
• Dispose of/recycle litter
• Take crockery/cutlery to the kitchen and clean
• Ensure walkways are clear of litter/packaging
• Take home any personal items, or store them away in a locker
• Take home your work laptop – do not leave it in the office 


Kitchen 🍴

• Everyone is responsible for bringing their dirty plates, mugs, crockery etc to the kitchen, and then washing and drying before putting away in the relevant cupboard. Plates etc., MUST NOT be left on desks around the office with food encrusting on them.
• Any food in the fridge must either be eaten or removed at a later date, (BEFORE it goes off), to
prevent contamination and smell. Please also ensure the fridge is emptied of anything you have 
stored before long periods of holiday (e.g., Christmas) 
• The microwave is available for everyone to use. However, be sensible about what you cook in it. 
Avoid foods that will create strong smells that will linger. Once you have used the microwave ensure it is clean for the next person to use.
• Should you use the last tea bag, sugar packet, or the last of the milk (or notice that they are running low) please advise the Business Operations team who will order extra.
• Coffee, tea, sugar, milk etc should be put back in the storage area or fridge once you have used 
them.
• All lids should be replaced.
• Any spillage should be cleaned immediately by the person who created the mess.
• Washing up liquid will be supplied. Washing up gloves will be available – please put away once used.
• We have a daily cleaner who provides a light cleaning service in the office. This is not an excuse to avoid any of the above but ensure a better overall standard of cleanliness.
• If you have guests, you are responsible for them and ensuring the above procedures are adhered to.


Office equipment use 🖱️

Office equipment should not:
- Be moved from its current location in the office (e.g., taking a monitor from someone else’s desk)
- Be removed from the office premises for home use (e.g., taking a chair home for remote working)


Please speak to Business Operations prior to moving/removing any equipment for approval. 
Office equipment includes (but is not limited to): monitors, monitor raisers, keyboards, chairs, office stationery, chairs, footrests, cutlery/crockery, toiletries (toilet paper, handwash), cleaning supplies, fans/heaters, consumables (tea/coffee/sugar/biscuits).
All equipment in the office is considered property of Oxford Global and the removal of equipment without approval could be deemed as theft.


Minimal printing 🖨️
The Company is committed to improving its sustainability. As a result, we have a minimal printing policy in place. Staff should limit their printing where possible and only print if absolutely needed. All staff are provided with a laptop to help mitigate the need for printing.


Stationery 🖊️✏️
Basic stationery is kept in the stationery cupboard (located in the office, next to the Operations team)
Should you require additional stationery, please submit a request to Business Operations using the ‘Equipment Request Form’ on Hub Site. All orders are subject to approval and budget.


Air conditioning/heating system 🌡️❄️
We have an air conditioning/heating system in the office and have dedicated staff in charge of the system who have set points in the day to adjust it. Please do not adjust the heating yourself as this disrupts the temperature flow throughout the day. As the weather fluctuates, the temperature will be adjusted accordingly - it takes some time in the morning to get to a steady temperature, so will always be slightly cooler before the afternoon. 

Please take into consideration that everyone has a different preferred level of warmth, and although we have an agreed level it will still be slightly higher/lower than some personal preferences. Please feel free to bring additional layers (e.g., jumpers/cardigans) or open a window in the office if the temperature is cooler/warmer than your personal preference.


When you leave the office 🏢
All windows must be closed, and electrical appliances switched off. Please take your work laptop home with you – this is important for security reasons, and ensuring you have it with you should working from home be required at short notice.
