Email Security

How to notice spam emails and what to do

📧Through Outlook you will probably receive spam emails from time to time some of which will be pretending to be a member of staff. There are a few things to look out for on these emails. 🕵️

1) The first big warning is the red external email banner that will appear. This does not show up if it is from an internal employee so if the email says it is from a member of staff and it has this banner then it is likely spam.

2) The next thing to check is the email address the email has been sent from. If it is long or the email does not match the name, then again it is probably spam.

3) The contents - check what the mail says. If it is sending you a document to open and you are unsure of the sender, then do not open the attachment. Furthermore, if they are requesting something like gift cards again it is likely to be spam. Also, spam messages may be missing a subject line.

📝It is important to understand that you have a responsibility to protect the security of your laptop. If a security breach occurs as a result of a spam email, there may be consequences such as disciplinary action. Additionally, if you become a victim of a scam, such as purchasing gift cards, you may be held liable for any financial losses you incur. It is crucial to remain vigilant and cautious when dealing with suspicious emails to protect both your personal information and the security of your device.
