💻The Websites💻 

The Design Team builds and maintains various websites and platforms, which are in turn populated / updated by other teams.

The main website is housed on HubSpot. HubSpot Website Department Guide.docx is an in-depth guide that details each department’s responsibilities and processes pertaining to the HubSpot website. Please familiarise yourself with this document as it is relevant for all teams. 

The websites are split into a few main areas: 

  • ‘Corporate’ Site (HubSpot) 
    • Serves primarily as a jumping-off point to reach our brand sites, as well as providing general info about our services (for sponsors and partners) the company (incl. history / values / vacancies), and the ‘PLUS Pass’ membership 
  • Brand Sites (HubSpot) 
    • Each brand has a unique subsite which contains its events, online activities, resources, and more 
  • Event Sites 
    • Our event sites are single-page, broken into sections, with a unique /book-now/ page for each event. These contain forms for users to register interest, download brochures, and register to attend the event 
  • Resources 
    • Each brand has a separate database of content / resources, which are created by various teams, and searchable by our customers on this page 
  • Sponsor Portals (HubSpot) 
    • A passworded area for Sponsors to upload information and get relevant information about the event / their package 
  • Speaker Portals (HubSpot) 
    • A passworded area for Speakers to upload information about themselves and their session at the event 
  • PLUS Pass Platform (or “TXF”) 
    • A paid platform for PLUS Pass holders, the primary feature being the OnDemand Presentation Library (filmed at our events). This platform also powers event registration 
  • WooCommerce (WordPress) 
    • A platform for our customers to purchase additional package elements 

📄Brochure Materials📄 

  • Conference Brochures 
    • Conference brochures are made by Design once Production have produced the event. Post-sign-off they are kept up to date by the Operations Delivery team 
  • Mini Brochures 
    • These brochures are created in lieu of a fully produced agenda & get used prior to the creation of a full conference brochure in the early parts of an event’s cycle 
  • Agenda at a Glance 
    • The Agenda at a Glance doc serves as a breakdown of a brand’s event portfolio for the year 
  • Sponsorship Brochure 
    • A brochure that details the benefits of sponsorship & the various packages offered 
  • PLUS Pass Brochure 
    • A brochure that details the benefits of PLUS Pass 
  • Post-Event Report 
    • A doc that breaks down post event data such as delegate attendance by job field, used by Sponsorship Sales as part of a rebooking initiative 

 ⭐Event Materials 

  • Event Guide 
    • The Event Guide is included in delegate’s badge holders at the event. They serve to offer delegates logistical information during the event 
  • Conference Floorplan 
  • Event Signage 
  • Swapcard Materials 
    • The company uses Swapcard as it’s online event platform. Design provides materials to customise the platform per event 
  • Welcome Speech 
    • The welcome speech plays at the beginning of the event and covers some basic logistical information
